Short answer: In the Instagram app, make your Reel, tap More options on the last screen, turn on Schedule this reel, pick a date and time, then tap Done, Back and Schedule. On a computer, open Meta Business Suite, click Create reel, add the video, choose a date and time and click Schedule. To send the same Reel to TikTok and YouTube Shorts at the same moment, use a scheduler like Socialync: upload the video once, tick Instagram, TikTok and YouTube, and pick one time.

Instagram's own scheduler is free. You need a public account, and you can schedule up to 25 posts a day, up to 30 days ahead (Instagram Help Center).

I'm Jack. I built Socialync after spending hours every week uploading the same video to TikTok, Instagram and YouTube one app at a time. So the third method below is my product, and I'll say so when it comes up. If your Reel only goes to Instagram, Meta's free tools cover it.

Three ways to schedule an Instagram Reel

Instagram app Meta Business Suite Socialync
Where you use it Instagram app on your phone Desktop, or the Business Suite app Browser, iPhone or Android app
Where the Reel goes Instagram Instagram and Facebook Instagram, TikTok, YouTube, Facebook and more
How far ahead 30 days (365 on some Meta One plans) Meta's help page gives no limit 2 months on the free plan, 12 months on paid plans
Cost Free Free Free plan: 5 posts a month. Paid: $20 a month for 5 accounts
What you need A public Instagram account A business portfolio and access to the account An Instagram Business or Creator account

Meta's two tools post to Meta's apps. TikTok and YouTube each need their own upload, and that's the gap a cross-platform scheduler fills.

Pick by where the video is going:

  • Instagram only, from your phone: the Instagram app.
  • Instagram and Facebook, from a computer: Meta Business Suite.
  • Reels, TikTok and Shorts at the same time: a scheduler. I'll show Socialync because I know it inside out.

How to schedule a Reel in the Instagram app

These are Instagram's own steps, from its Help Center page on scheduled posts and Reels.

  1. Start a Reel. Tap Create in the top left, or swipe right anywhere in your feed, then tap Reel.
  2. Pick your video. Select the video from your camera roll and tap Next.
  3. Finish the edit. Add your caption, effects or filters the way you normally would.
  4. Open More options. On the last screen before sharing, tap More options.
  5. Turn on scheduling. Switch on Schedule this reel, then choose the date and time you want it to go live.
  6. Confirm the time. Tap Done, then tap Back.
  7. Schedule it. Tap Schedule. Instagram holds the Reel and publishes it at the time you picked.

Find, edit or move a scheduled Reel

Instagram keeps everything you've scheduled in one list:

  • Go to your profile and tap Menu in the top right.
  • Under Your insights and tools, tap Scheduled content.
  • Tap Options next to the Reel, then choose Edit post, Reschedule, Share now or Delete.

You can also reach the same list from Create, then Scheduled.

What the Instagram app can't schedule

Instagram says product tagging, collaborative posts, sponsored posts and fundraisers don't work with scheduled content yet (Instagram Help Center). If your Reel needs one of those, post it live.

A scheduled Reel also keeps the privacy and audience settings you had at the moment you scheduled it. Change those before you tap Schedule.

How far ahead the app goes

Thirty days without a subscription. Meta's help page says the Meta One Advanced, Meta One Expert and Meta One Max plans stretch that to a year, 365 days (Meta Help Center).

If you batch more than a month of Reels in one go, the 30 day window is the limit you'll hit first.

How to schedule a Reel in Meta Business Suite

Business Suite is Meta's free tool for running Facebook and Instagram from one place. It works on desktop and in the Business Suite mobile app, and it needs a business portfolio, which is Meta's container for your Page, Instagram account and ad account (Meta Business Help Center).

To post a Reel, you need full control of the Instagram account or Page, or content permission for it (Meta Business Help Center).

On a computer

Meta's steps, from its guide to creating and managing Reels in Business Suite:

  1. Go to Meta Business Suite and click Create reel. It's on the home page and on the Content tab.
  2. Under Post to, choose your Instagram account. Add your Facebook Page too if you want the Reel there.
  3. Under Media, click Add video and upload the Reel.
  4. Under Thumbnail, choose a frame or upload an image for the cover.
  5. Under Reel details, write your caption. You can change the details for Facebook and Instagram separately.
  6. Click Next.
  7. Choose to schedule, then select the date and time.
  8. Review the closed captions, remix and audience options, then click Schedule.

One catch. Business Suite's edit step (audio, aspect ratio and trimming) only applies when you post to Facebook, and Meta says you can't edit a reel from a video when posting to Instagram. Trim and finish the video before you upload it.

On your phone

The Business Suite app has its own flow:

  1. Open the Meta Business Suite app, tap the + button and choose Reel.
  2. Pick the video from your gallery, add any audio, text or effects, and tap Next.
  3. Write the title and description.
  4. Under Share to, choose your Instagram account, plus your Facebook Page if you want it there.
  5. Under Scheduling options, choose Schedule for later and set the date and time.
  6. Tap Schedule.

Find a scheduled Reel in Business Suite

On desktop, click Content in the left menu, open the Posts & reels tab and select Scheduled. Click the ... icon, then Manage post, to edit it, reschedule it or delete it.

How to schedule one Reel to Instagram, TikTok and YouTube Shorts

If the same video is going to TikTok and YouTube Shorts too, scheduling it three times in three apps is the slow part. TikTok Studio has its own scheduler (our TikTok scheduling guide covers it), but going app by app still means three uploads, three captions and three times to line up.

A cross-platform scheduler takes one upload and posts it to all three at the time you pick. Socialync is the one I built, so that's the one I'll walk through. On the free plan, one post sent to Instagram, TikTok and YouTube counts as one of your 5 posts for the month.

First, make one file that works on all three

Get this right once and the same file fits every platform:

  • Shoot or export vertical, 9:16. Instagram takes Reels from 1.91:1 to 9:16, at 720 pixels or more and at least 30 frames per second (Instagram Help Center). Its developer docs recommend 9:16 "to avoid cropping or blank space" (Instagram API reference).
  • Keep it to 3 minutes or less. The Instagram app takes Reels up to 20 minutes, but Instagram says Reels over 3 minutes won't be recommended to new audiences (Instagram Help Center). YouTube counts a square or vertical video as a Short only up to three minutes (YouTube Help). Socialync posts videos up to 3:00 to Instagram, TikTok and YouTube, so 3 minutes is the line that works everywhere.
  • Make it at least 3 seconds. That's the minimum Instagram's API takes for a Reel.
  • Check it before you upload. Drop the file into the free Instagram Reels spec checker. Your browser reads the length, size and frame on your device, and nothing is uploaded. There are matching pages for TikTok and YouTube Shorts.

The steps in Socialync

  1. Connect your accounts once. Sign up free, open Settings, then Connections, and connect Instagram, TikTok and YouTube. Instagram's API only publishes to professional accounts (Business or Creator). Switching is free in the Instagram app under Settings, then Account type and tools (Instagram Help Center).
  2. Upload the video. Start a post and add your Reel. A post carries one video.
  3. Tick Instagram, TikTok and YouTube. Add Facebook or any other connected account if you want the video there too.
  4. Write one caption. It goes to every platform you ticked. To change it for one platform, open that platform's tab and write a caption there.
  5. Set each platform's options. Instagram has the cover frame, Share to feed, Trial Reel and first comment. TikTok has who can view the video and the cover frame. YouTube has the title.
  6. Click Schedule and pick the time. Times are in your own time zone and run in 5 minute slots. The picker keeps the time at least a few minutes out, so use Post Now if you want it live right away.

That's it. Socialync publishes to all three at the time you picked, and the post sits in your calendar until then.

If you'd rather ask an AI assistant to do this, Socialync also works from Claude and ChatGPT. The ChatGPT scheduling guide shows the setup.

What Socialync checks before it schedules

A scheduled post that fails at 6pm is worse than one that never got scheduled. So Socialync checks the post against each platform before it takes it:

Post to all your platforms in one click

Socialync lets you cross-post to TikTok, Instagram, YouTube, X, Facebook, LinkedIn, Threads, Bluesky, and Pinterest, with AI-powered captions for each platform. Free to start.

  • Length. If the video runs longer than a platform takes, Socialync unticks that platform and tells you why, before anything is scheduled.
  • Caption length. The composer shows each platform's character count. Instagram's caption limit is 2,200 characters (Instagram API reference), and Socialync holds TikTok to the same 2,200. Paste yours into the Instagram character counter if you're unsure.
  • YouTube title. YouTube needs one. Leave the title blank and Socialync uses the first sentence of your caption. It only stops the post if there's no title and no caption either.
  • Media type. YouTube takes video only, and TikTok takes one video per post.

What Socialync can't do

Better you hear it here than find out after scheduling:

  • Videos over 3 minutes. Socialync posts up to 3:00 to Instagram, TikTok and YouTube. For a longer Reel, use the Instagram app, which takes up to 20 minutes.
  • Songs from Instagram's music library. Instagram's publishing API has no option for choosing a track from Instagram's library. Its one audio setting, audio_name, only names your original audio (Instagram API reference). Socialync posts the sound that's in your file. If the Reel needs a library song, schedule it in the Instagram app.
  • A custom thumbnail on a YouTube Short. YouTube generates the Shorts thumbnail from the video, and Socialync can't set one.
  • A first comment on TikTok or Facebook. Socialync doesn't have comment access on TikTok, and Facebook comments are waiting on Meta's approval. Instagram and YouTube first comments work.
  • Collab invites and product tags. The Socialync composer doesn't offer them, and Instagram's own scheduler can't schedule them.

Settings that matter for a scheduled Reel

Whichever tool you use, these are the settings worth a look before the Reel goes out.

Cover frame

The cover is the still people see before they tap.

  • Business Suite: under Thumbnail, choose a frame or upload an image.
  • Socialync: drag the slider to the frame you want. Instagram and TikTok each have their own slider, and both start 1 second in. YouTube picks its own frame for Shorts.

Through the API, Instagram uses a frame from the video unless a separate cover image is sent, and it uses the very first frame when no frame is chosen (Instagram API reference). If your video opens on black or a fade, move the slider.

Share to feed

Meta's docs describe the switch this way: on means the Reel can appear in both your Feed and Reels tabs, and off means the Reels tab only. Meta also notes that neither setting guarantees the Reel appears in the Reels tab, since that depends on eligibility and the algorithm (Instagram API reference).

In Socialync it's the Share Reel to Main Feed switch in the Instagram tab. It's on by default and resets for every post, so a one-off choice never carries over to the next Reel.

Turn it off for Reels you want out of your profile grid, like test cuts or a series that would crowd it.

Trial Reels

A Trial Reel is shown to non-followers first. You can share it with everyone yourself after the trial, or let Instagram share it automatically if it performs well, based on the views it gets in the first 72 hours (Instagram for Creators).

Socialync can schedule them. Turn on Trial Reel in the Instagram tab and choose when followers see it:

  • When I choose, in the Instagram app. The Reel stays a trial until you share it from Instagram.
  • Automatically, if it performs well. Instagram decides.

Three things to know:

  • Instagram only allows Trial Reels on accounts that meet its follower requirement. If yours doesn't, the Instagram part of the post fails, and Socialync tells you to post it as a regular Reel.
  • A Trial Reel never goes to your feed, so the Share to feed switch disappears while it's on.
  • TikTok and YouTube in the same post go out as normal posts.

First comment

Socialync can post up to 5 comments under your Reel right after it goes live. Each Instagram comment can run to 2,200 characters. Use it to add credits, a question to start the replies, or the details that would crowd the caption.

First comments also work on YouTube, X, Threads, LinkedIn and Bluesky. TikTok and Facebook are the exceptions, as above.

Hashtags

Instagram's @creators account announced on December 18, 2025 that Instagram allows up to 5 hashtags in a reel or post (Instagram's @creators on Threads). Its API reference still lists 30. Five is the safe number. Pick the five that say what the video is about.

A weekly routine that takes one sitting

This is the routine I'd set up if I were starting over with Reels, TikTok and Shorts:

  1. Edit the week's videos in one sitting. Export each one vertical, under 3 minutes.
  2. Check each file in the spec checker.
  3. Write one caption per video, with the hook in the first line and five hashtags at most.
  4. Schedule each one to Instagram, TikTok and YouTube in Socialync, one post per day at a time your audience is awake.
  5. Look at the results a week later, and make more of whatever held attention on each platform.

If you're wondering whether scheduled posts reach fewer people, we covered it in does scheduling hurt engagement. For what Instagram rewards once the Reel is live, read the Instagram Reels algorithm guide, and for Shorts, the YouTube Shorts algorithm guide.

FAQ

Can you schedule Reels on Instagram?

Yes. If your account is public, the Instagram app can schedule a Reel up to 30 days ahead, with up to 25 scheduled posts a day. Make the Reel, tap More options, turn on Schedule this reel, pick a time and tap Schedule. Meta Business Suite and schedulers like Socialync can schedule Reels too.

How far in advance can you schedule a Reel on Instagram?

Thirty days in the Instagram app. Meta's help page says the Meta One Advanced, Meta One Expert and Meta One Max plans extend that to a year. In Socialync, the free plan schedules up to 2 months ahead and paid plans up to 12 months.

Why can't I schedule a Reel on Instagram?

Check three things. Your account has to be public. The schedule switch is under More options on the last screen before you share. And Instagram can't schedule a collaborative or sponsored post, or one with product tags or a fundraiser, so remove those or post the Reel live.

Can you schedule Instagram Reels from a computer?

Yes. In Meta Business Suite on desktop, click Create reel, choose your Instagram account under Post to, add the video and caption, click Next, then pick a date and time and click Schedule. Socialync also runs in a desktop browser and can send the same Reel to TikTok and YouTube.

Can you schedule a Reel to Instagram and TikTok at the same time?

Meta's tools only post to Meta's apps, so you need a cross-platform scheduler. In Socialync you upload the video once, tick Instagram, TikTok and YouTube, and pick one time. On the free plan that counts as 1 of your 5 posts for the month.

Can you edit a scheduled Reel?

Yes. In the Instagram app, go to your profile, tap Menu, then Scheduled content, then Options next to the Reel to edit it, reschedule it, share it now or delete it. In Business Suite, open Content, then Posts & reels, then Scheduled. In Socialync, open the post from your calendar and change it.

Schedule your next Reel everywhere at once

Meta's tools are free and they work. If the video is also going to TikTok and Shorts, Socialync does all three in one sitting:

  • One upload to Instagram Reels, TikTok and YouTube Shorts at the time you pick
  • Instagram settings included: cover frame, Share to feed, Trial Reels and up to 5 first comments
  • A check before every post, so a video that's too long for a platform gets caught while you can still fix it
  • Free plan: 5 posts a month with no card, scheduling up to 2 months ahead
  • Paid plans: $20 a month for 5 connected accounts with unlimited posts, scheduling up to 12 months ahead
