Pick Save as PDF in the print window to get a file. On an iPhone, tap the share icon in the print preview and choose Save to Files. If nothing opens, you are likely in an app's built-in browser: open this page in Safari or Chrome.
Get jobs where the terms are set before you apply.
On the Socialync job board, every listing states the pay, usage rights, licence length and payment terms before you apply, and the brand pays you directly. Socialync takes nothing from your pay.
What to put on a UGC invoice
The person who pays your invoice often never saw the campaign. They match it to a contract or a purchase order, then pay it. Give them every field that match needs.
| Field | What to write |
|---|---|
| Your details | Your legal or business name, email and mailing address. Add an EIN or VAT number if you have one. Leave your Social Security number off: a brand that needs it asks for it on a W-9. |
| The brand | The company’s legal name and the person or inbox that pays invoices. Ask your contact: it is often a finance address you have never emailed. |
| Invoice number and date | A number you never reuse. Start the next invoice in the tool above and the number counts up for you. |
| PO or campaign reference | Some brands only pay invoices that quote their purchase order number. Ask for it before you send. |
| Deliverables and live post links | One line per post or file, with the platform and the link to the live post. The link is your proof of delivery. Each line should match a deliverable in the brief. |
| Amounts | Quantity and rate per line. Put paid usage rights, whitelisting access and raw footage on their own lines so the brand sees what each one costs. |
| Payment terms and due date | Net 14 means payment is due 14 days after the invoice date. The template prints the actual due date so nobody has to count days. |
| Usage rights and licence term | What the brand may do with the content, for how many months, and any exclusivity window. Copy the wording from your contract. |
| How to pay you | Exactly how the money reaches you. A US bank transfer needs the account name, routing number and account number. A transfer from another country needs your IBAN or account number plus the SWIFT or BIC code. For PayPal or Wise, give the email on the account. A US creator on the Socialync job board is paid by the brand on the job’s pay page, straight into the creator’s own Stripe account, so this line can point there. |
Payment terms and usage rights
The template starts at Net 14 because that is the default on the Socialync job board: payment is due 14 days after the brand confirms delivery. A brand can set anything from 1 to 90 days on its listing, and creators see it before they apply. Off the board, use whatever your contract says. If the contract says Net 30, enter 30.
Usage rights decide what the brand can do with your video after delivery: repost it on its own channels, run it as an ad, or run it from your handle as a whitelisted or Spark ad. When the brand pays extra for paid use, put that fee on its own line so the price and the rights sit next to each other.
Write the term in months. On the job board the licence defaults to 12 months, a brand can set 1 to 120 months, and a perpetual licence applies only when the brand picks it on purpose. The template uses the same 12 month default. Add an exclusivity window if you agreed to one.
For pricing, the UGC rate calculator shows the ranges other sources report for each deliverable. The UGC contract template covers the clauses your usage rights line should match, and the whitelisting rates guide covers paid use.
Do UGC creators pay taxes? General information for the US
General information only, checked against IRS.gov on October 23, 2026.
It is not tax advice. Rules differ by state and country, and your own numbers change the answer, so confirm with a tax professional before you file.
Brand income is taxable without a form.
The IRS says income from gig work must be reported on your return even when nobody sends you a 1099 or another information return. Source: IRS, Gig economy tax center.
Self-employment tax starts at $400.
If your net earnings from self-employment reach $400 for the year, you file Schedule SE and pay self-employment tax of 15.3%: 12.4% for Social Security and 2.9% for Medicare. Source: IRS, Self-employment tax.
Estimated tax is paid during the year.
Individuals generally have to make estimated tax payments when they expect to owe $1,000 or more when they file. Source: IRS, Estimated taxes.
Form 1099-NEC starts at $2,000.
A business that pays you at least $2,000 in a calendar year for services files Form 1099-NEC and gives you a copy by January 31. The threshold went up from $600 for tax years beginning after 2025. Sources: IRS, Instructions for Forms 1099-MISC and 1099-NEC; IRS, About Form 1099-NEC.
Card and app payments go on Form 1099-K.
Payments by card or through a payment app or online marketplace are reported by the payment company on Form 1099-K. Payment apps and online marketplaces must send one when you receive over $20,000 in more than 200 transactions, and may send one for less. Sources: IRS, Instructions for Forms 1099-MISC and 1099-NEC; IRS, Understanding your Form 1099-K.
W-9 inside the US, W-8BEN outside it.
A US brand asks for Form W-9 to get the taxpayer ID its 1099 needs. A creator who is a foreign person gives Form W-8BEN when a US payer asks for it. Sources: IRS, About Form W-9; IRS, About Form W-8 BEN.
Gifted product can count.
The IRS counts the fair market value of goods or services received through bartering as income, so product sent in exchange for a post may need to be reported too. Source: IRS, Topic 420, bartering income.
Keep every invoice for at least 3 years.
The IRS says to keep records for 3 years in most cases, and for 6 years if you leave out income worth more than 25% of the gross income shown on your return. One numbered PDF per job covers the income side. Source: IRS, How long should I keep records.
Do you need an LLC to invoice brands?
No. You can invoice under your own name. The IRS calls a business you own by yourself, without incorporating, a sole proprietorship. An LLC is created under state law, and each state sets its own rules. Sources: IRS, Sole proprietorships; IRS, Limited liability company (LLC).
For federal income tax, a single-member LLC is treated as part of its owner’s return by default, and the owner pays self-employment tax the same way a sole proprietor does. The LLC can elect to be taxed as a corporation on Form 8832. Payments to a corporation, including an LLC taxed as one, are generally left off Form 1099-NEC. Sources: IRS, Single member limited liability companies; IRS, Limited liability company (LLC); IRS, Instructions for Forms 1099-MISC and 1099-NEC.
Whether an LLC is worth the fees for liability reasons is a question for a lawyer or accountant in your state.
Socialync does not collect W-9s or file 1099s for anyone. On the job board the brand pays the creator directly, so tax forms stay between you, the brand and any payment company involved.
UGC invoice questions
Is this UGC invoice template free?
Yes. There is no signup and no account, and you can make as many invoices as you need. A small line in the footer says the invoice was made with this template; switch it off in the form and it disappears.
Does my invoice data leave my browser?
No. Everything you type stays in this browser. The page saves a draft in your browser’s local storage so you can come back to it, and Clear form deletes it. When you print, the page records a usage event with counts and settings only: how many line items, the currency and which usage rights option you picked. Nothing you typed goes with it.
How do I save the invoice as a PDF?
Press Print / Save as PDF. On a computer, choose Save as PDF as the printer, or from the PDF menu on a Mac. On an iPhone or iPad, tap the share icon in the print preview and choose Save to Files. Only the invoice prints; the rest of this page is hidden.
What should a UGC invoice include?
Your details, the brand’s legal name and billing contact, an invoice number and date, any PO number, one line per deliverable with the live post link, quantities and rates, payment terms with the due date, the usage rights and licence term, and how to pay you.
Is an influencer invoice different from a UGC invoice?
The fields are the same. An influencer invoice usually bills for posts on your own account, so each line carries a live post link. A UGC invoice often bills for video files the brand posts itself or runs as ads, so the usage rights line carries more weight. This template handles both: fill in the link for a post and leave it empty for a file.
What payment terms should I put on a UGC invoice?
The terms in your contract. The template starts at Net 14, which matches the default on the Socialync job board: payment due 14 days after the brand confirms delivery. Enter 0 for due on receipt.
Should usage rights go on the invoice?
Yes. One line naming the use, the licence length and any exclusivity ties the fee to what the brand bought. If the brand later wants to extend the licence, both sides can see what the first fee covered.
Do UGC creators pay taxes?
Yes, in the US. This is general information and it is not tax advice. The IRS says gig income must be reported whether or not you receive a 1099, and self-employment tax of 15.3% applies once net earnings from self-employment reach $400 in a year. Confirm your own case with a tax professional. Sources: IRS, Gig economy tax center; IRS, Self-employment tax.
Will a brand send me a 1099-NEC?
General information for the US: a business that pays you $2,000 or more in a calendar year for services files Form 1099-NEC, for tax years beginning after 2025 (the threshold was $600 before). Card and payment app payments are reported on Form 1099-K by the payment company instead. Payments to a corporation, including an LLC taxed as one, are generally left off Form 1099-NEC. Source: IRS, Instructions for Forms 1099-MISC and 1099-NEC.
Do I need an LLC to be a UGC creator?
General information for the US: no. You can invoice brands under your own name as a sole proprietor. A single-member LLC is taxed like a sole proprietorship by default unless it elects to be taxed as a corporation, and each state sets its own LLC rules. Ask a tax professional or lawyer in your state whether one is worth it for you. Sources: IRS, Sole proprietorships; IRS, Single member limited liability companies.
Does Socialync handle 1099s or W-9s?
No. On the Socialync job board the brand pays the creator directly, so tax forms stay between the creator, the brand and any payment company involved. Socialync takes nothing from creator pay.
